A virtual office in India is an address, not a desk. You are buying the right to put a street address on your incorporation papers, your GST application, your invoices and your website — and to have someone at that address receive the post and the notices that follow. Nobody expects you to work there.

That makes it an unusual thing to shop for, because the question that decides it is not how the place looks. It is whether the Registrar of Companies and a GST officer will accept the address, and what paperwork the operator can hand you to prove it. This guide covers what a virtual office in India actually includes, what the two authorities ask for, what it costs, and the 129 addresses currently listed on Wezoo.

What is a virtual office — and what do you actually get?

Strip away the marketing and a virtual office in India is three things bundled together: a real commercial address you are authorised to use, a person or a process at that address handling what arrives there, and a document pack proving the first two to whoever asks.

Wezoo’s listings set that out explicitly, and they are strikingly consistent about it. Take the six addresses in this guide: each one’s listing names the same five things — a business address, mail handling, call answering, a local phone number, and meeting room access on site when you need to host someone. That consistency is worth knowing, because it means the plan is not usually the variable — the address is.

Two things are worth noting for what is not in that list. Mail scanning and mail forwarding do not appear in it, so if you need post digitised or sent on to another city, treat that as a question for the operator rather than an assumption. And meeting room access means access, on that site, when you book it. It is not a desk, and it is not somewhere your team can work every day. Is a virtual office legal in India, and which addresses the registrar accepts

Yes, and the more useful answer is that two different authorities have to be satisfied, and they ask for different things.

The Registrar of Companies

A company files Form INC-22 to verify its registered office. Under section 12(2) of the Companies Act 2013 that verification is due within thirty days of incorporation, and under section 12(4) any later change of address has to be notified within fifteen days. Rule 25 of the Companies (Incorporation) Rules 2014 lists the documents that go with it, and this is the part worth reading before you pay anyone:

  • the registered title document for the premises in the company’s name;
  • a notarised copy of the lease or rent agreement in the company’s name, with a rent receipt not older than one month;
  • the authorisation from the owner or authorised occupant of the premises, with proof of ownership or occupancy, to use the premises as the company’s registered office;
  • proof of a utility service — telephone, gas or electricity — showing the address in the owner’s name, not older than two months.

That third item is the one providers advertise as an NOC. It is the document that turns someone else’s building into your registered office, and no lease on its own substitutes for it.

The clearest signal that a shared address is contemplated rather than tolerated sits further down the same form. Among INC-22’s attachments is a list of all the companies, with their CINs, that have the same registered office address. The Registrar expects more than one company at an address and asks you to declare the others. The form also wants the address of the police station in whose jurisdiction the registered office falls — a reminder that the address is treated as a real place, not a mailbox.

GST

The GST portal is equally explicit. Its own registration guidance tells applicants whose principal place of business is a co-working space to select Shared as the nature of possession of premises, unless they hold a valid registered sub-let agreement with the provider. A serviced business address is filed under the same heading. The portal also fixes the geography: the principal place of business has to be inside the state where you are applying, so a Karnataka registration needs a Karnataka address regardless of where your head office is.

What does a virtual office cost in India — and is there a free option?

There is no list price for a virtual office in India on Wezoo. None of the 129 Indian addresses publishes one, free or otherwise. That is the shape of the product rather than a gap: a plain business address, an address that has to survive GST verification, and a registered office for incorporation all carry different document work, and the document work is most of the cost.

Who uses a virtual office in India — and who should not

It fits four situations well. A founder incorporating a company before there is anything to rent. A business that sells into a state where it has no premises and needs a GST registration there. A consultancy or agency whose people work from home but whose clients expect a commercial address on the contract. And an overseas company opening an Indian entity, where the address has to exist long before anyone is hired.

A virtual office in India is the wrong product in three cases, and it is worth being blunt about them. If people need somewhere to sit most days, this is not that — the meeting room is bookable, the building is not yours. If your licence or registration requires premises that an inspector can visit and find your signage and your staff, a shared address will not carry it. And if you will not reliably act on what arrives, do not take one at all: statutory notices go to the registered office, and an address that receives them while nobody reads them is worse than no address at all.

How to request a virtual office in India on Wezoo

Is a virtual office in India legal?

Yes. The Companies Act 2013 requires a company to have a registered office and to verify it with the Registrar, but it does not require the company to own or solely occupy the premises.
