When should you choose virtual offices over a physical private office?

A virtual office Tokyo listing is an address, not a desk. How to choose, and how far in advance to enquire

A virtual office Tokyo listing is not bookable. You enquire, the operator returns a quote and its own conditions, and the address goes live once that is signed — an address is tied to whoever registers at it, so nobody sells one from a checkout. Allow a few working days, longer if a registration depends on it.

  1. Pick the area first. The address is the product, so decide what your invoices should say.
  2. Check the service set. All ten share the same eight core services; parking, step-free access and food differ.
  3. Ask the registration question in writing. Whether that address may serve as your registered head office is the operator’s call, and it is the one answer no listing can give you.
  4. Ask what happens to post. Forwarding and scanning are both normal; which and how often is set in the quote.

Registration is not the last piece of paper. A new corporation files a notification of establishment with the tax office — the National Tax Agency publishes the guidelines — and local filings go to the Tokyo Bureau of Taxation.
